Chartering a Shuttle

Events for large groups may require the need for shuttle services or other transportation needs. Parking & Transportation Services now offers convenient charter services at a low cost to the campus community. A variety of bus sizes are available with courteous drivers who are familiar with the Stanford campus. To make a request online, go to Online Request.


Terms & Conditions

No open containers of alcohol are allowed on board the bus.

Cancellations made less than 7 days prior to the charter date may be subject to a fee.

The company shall not be liable for delays caused by accidents, breakdowns, road conditions, storms and other circumstances beyond its control.

Client will be held responsible for damages incurred to the vehicle caused by the group, member of group, or any other party the group is involved with during the charter. Cleaning fees will be charged for anything not normally associated with the use of the bus.

Estimated prices do not necessarily reflect the final cost. Any changes in the itinerary may change the final cost of the charter. The final cost will be calculated after completion of the charter.

Who can charter a vehicle through Parking & Transportation Services?
All staff, faculty, students, alumni, groups associated with Stanford, and groups holding or attending events on campus are eligible for our services and rates.

How can a customer make a charter reservation?

How soon should a charter request be made?
We request a minimum of 2 weeks advance notice for requests, though requests should be made as soon as possible. Some times of the year are very busy and buses can be sold out as early as 3 months ahead.

Is the customer guaranteed a reservation when making a request?
Unfortunately, that would be impossible. All reservations are made based on availability. It's best to make a request as soon as possible.

What size vehicles are available?

  • 3 passenger sedans
  • 6-10 passenger limousines
  • 6-10 passenger vans
  • 21-27 passenger minibuses
  • 32 passenger transit buses
  • 47-55 passenger coaches, include bathroom and luggage storage under passenger cabin. A DVD/VCR-enabled bus may be available upon request.

What types of charters are there?
special event shuttles, parking shuttles conference shuttles, party shuttles, airport transfers, local trips anywhere on campus and in Palo Alto/ Menlo Park area, day trips and overnight and weekend trips (i.e., San Francisco, Yosemite, Tahoe, Las Angeles) more...

Can a customer rent just a vehicle?
No, all services include a driver.

How much does it cost? Prices vary depending on the size of the group, the vehicle type, and the length of the charter. They can range from $52 - $170 per hour. There are 2 and 4-hour minimums depending on the services requested. All prices include tax, fuel, and gratuity. See price sheet (PDF, 61 KB).
